David Tremmil, Chair of beam, highlights the need for ongoing best practice.

At beam, we review our Industry Code of Practice (CoP) every three years to make sure it reflects how our sector is currently operating. The latest update is a considered refresh shaped by a collection of industry minds, evolving commercial models, tech, and the pace of change across meetings and events.

One of the most significant areas of focus is commission, as this is often where misunderstandings begin. The updated CoP brings clearer guidance on repeat bookings and deposits and removes the uncertainty around retrospective claims. This means fewer grey areas and stronger, more transparent relationships.

We’ve also addressed expectations around commercial transparency and payment practices. Agreeing terms at the point of enquiry should be standard, not something revisited later when pressure builds. Clearer timelines, including defined dispute periods, support a more consistent and professional approach.

There is greater emphasis on early disclosure of client terms, rate integrity, and shared responsibility in resolving challenges.

We hope to remove friction and ensure everyone is aligned from the outset.

The CoP also reflects how the industry continues to evolve. New guidance covers areas such as city taxes, billback, and the growth of instant booking models, ensuring the framework keeps pace with modern booking behaviour and operational realities.

Alongside the code, we’ve introduced a Responsible Business Charter, reinforcing our commitment to ESG principles, as well as the Service Charge Charter for MICE to support greater consistency and transparency in how service charges are applied for meetings and events.

Standards can sometimes be seen as creating barriers, but in truth it’s quite the opposite. Clear, well-communicated frameworks give businesses, particularly smaller agencies, the confidence to operate, compete, and grow on a level playing field.

For beam, this is exactly the role we should be playing – providing leadership and ensuring our industry continues to evolve in a way that is fair and fit for the future.
